- Event will be listed & advertised on www.ectb.org upon approval of a submitted contract.
- ECTB will periodically mass email all age eligible teams in our database about your upcoming event.
- Teams will be eligible to sign up for your events and earn :
- ECTB Points (Points count towards the National Championship Series which is held annually in July or August depending on the age division).
- ECTB Invitational Berths to the National Championship Series
- Invitational Berths to out of state events (i.e. ECTB Annual Winter World Championship – Florida).
- Teams participating in your event are responsible to :
- Pay their current ECTB membership (due annually in August)
- Pay their entry fee directly to the Event Host (YOU)
- Submit an online Roster for the event
- Print out the Team Waiver, obtain parent signatures and submit at the start of the event.
- Host is responsible to :
- Administrate his/her event on the ECTB website (Host will be given a username & password to log onto the website)
- Collect all team entry fees and update that payment has been received on the website.
- Follow up with Teams regarding their membership dues, online rosters prior to the event start. (Any team that does NOT pay their dues prior to the
event start, the Host will be billed for and the Host will be responsible to collect from the teams at the event for reimbursement to himself of that
fee that he was charged). - Input Field Names and COMPLETE Field Addresses at least fourteen (14) days prior to the event start. This is needed to secure Field Insurance
certificates for your event. - Monitor that all teams submit a valid roster on the ECTB website prior to the event start. Contact any team that does not submit an online roster at
least 48 hours prior to the event start. - Collect a Team/Coach Waiver from EVERY team prior to the team’s 1st game of the event. Make sure the Waiver is COMPLETE and Accurate before allowing
the team to play. - MANDATORY: ALL teams MUST have in their possession at ALL TIMES during the event, a copy of ALL players birth certificates in case of protest of age
eligibility. - Create the event schedule per age group at least 72 hours prior to the event start.
- Modify and upkeep the event schedule during the event (including schedule request changes, inclement weather changes, reseeding during event).
- Provide a complete report POST the conclusion of the event including final standings & points awarded.
- Follow ALL ECTB Official Rules, Policies & Procedures outlined in the ECTB Rulebook Manual (ECTB will provide copies of the Rulebook to the Host.
Host can purchase pocketsize Rulebooks for the teams in his event at a discount rate). - Host can have Addendum Rules BUT must advertise them on the DETAILS page of his/her event so teams are aware of these Addendum Rules in advance.
- Purchase ALL REQUIRED ECTB SERVICES – This includes: Trophies, Medals, Baseballs, Event T shirts through ECTB.
- Host is free to sell merchandise at his event. Items that have ECTB’s logos/emblems/trademarks require PRIOR approval from ECTB (there is a
usage fee for using ECTB’s trademarks on merchandise not purchased directly through ECTB).
- ECTB is responsible to :
- Contact the Host (YOU) one (1) week prior to the event start to go over any questions, issues and to make sure the Host understands how to
enter/create the schedule, review any teams who are outstanding with membership. Host should be aware that any team’s who do not submit their
membership prior to the event start, Host will be charged the membership fee and will need to recoup the fee directly from the team/s to reimburse
himself. - Send an email receipt to Host approximately three (3) days PRIOR to the event start showing the amount processed on Host’s credit card. This
will include a PRE Report outlining the fees charged including Sanctioned Event Fee, Per Team Fee, Tournament Insurance Fee, ECTB Service Fees
(Trophies, Medals, Baseballs), Outstanding Team membership fees. - Send an email receipt within seven (7) days POST the conclusion of the event showing the amount processed on Host’s credit card – IF
APPLICABLE. POST charges would include late teams Per Team Fee, Shipping & Handling charges (if not known prior to event). - Once Host ‘s fees are paid in full, ECTB will issue participating teams their ECTB Points & Berths.
- Contact the Host (YOU) one (1) week prior to the event start to go over any questions, issues and to make sure the Host understands how to

- Sanctioned Event Fee – $200 / Event (if not previously paid)
- Tournament Insurance Coverage – $10 / Team (minimum charge for less then 10 teams in an event is $100). Includes coverage for all teams in
the event, Field Insurance certificates for all fields being used for the event, coverage for event staff including Field Directors,
merchandise and concessionaires. - Per Team Registration Fee – $50 / Team
- ALL Service Fees – This includes :
- REQUIRED : Baseballs, Trophies, Medals,
- OPTIONAL : Event T shirts, Pocket Rulebooks, ECTB Merchandise.
- Shipping & Handling Fees (if known prior) or could be done POST event.
- Any OUTSTANDING Team Membership Fees – $50 / Team that does not pay their 2009 ECTB Membership PRIOR to the event start.
- Host will be charged on credit card provided within seven (7) days POST conclusion of the event for :
- Any late entry teams Registration Fee – $50 / Team
+ $10 per team insurance fee - Any outstanding Team Membership Fees (late entry teams) – $50 / Team
- Shipping & Handling (if not known prior to event).
- Any late entry teams Registration Fee – $50 / Team
- Inclement Weather : In the event of inclement weather, Host is responsible to CANCEL his event prior to or during the event and NOTIFY ALL TEAMS.
Host is responsible to refund teams accordingly (see ECTB’s Inclement Weather Policy).- IF event is canceled PRIOR to event start due to inclement weather or Host decision and does NOT advertise raindate, ECTB retains ALL
PRE Event Fees Paid including ECTB Service Fees (baseballs, trophies, medals, and any other services purchased are NON-returnable / NON-refundable). - Host is responsible to notify ALL Teams of cancellation by the following means :
- Click on Points & Awards and click RAINED OUT button which will remove all schedules on the website.
- Email ALL Teams via the mass Emailer on your Tournament Administrator page.
- A phone call to ONE Coach contact person for EACH Team listed on the Emergency Contact list (on your Tournament Admin page).
- IF Host advertised a RAINDATE (must be listed at time of contract and in Tournament DETAILS), ECTB retains ALL PRE Event Fees Paid
including ECTB Service Fees (see –a- above). Raindates are NOT recommended as they are more costly!!- Host is responsible to organize his raindate with which teams will / will not be returning.
- Host is responsible to provide this information PROMPTLY to ECTB so that ECTB can reestablish the event for the raindate and get the
teams moved accordingly.
- IF event is rained out / canceled DURING the event (Event officially started
= games were played but event could not be finished due to weather) ECTB retains ALL PRE Event Fees paid including ECTB Service Fees (see – a – above).- Host is responsible to follow the ECTB Rain Policy (outlined in ECTB’s Policy & Procedure Manual – page 14, Section C2, #4. Host
MUST issue REFUNDS according to ECTB credit policy as credits are not optional with Sanctioned events/Hosts.

same date). This fee must be paid at the time your event is approved. - Per Team Registration Fee – $50 / Team – This fee is charged to the Host by ECTB for each team that registers to participate in the event.
- Tournament Liability Insurance Fee – $10 / Team – This fee is charged per team for insurance coverage for all teams in your event and includes your
Field Insurance certificates and covers your Tournament Staff (including your Field Directors, concession and merchandise staff).
If your event has less than 10 teams, the minimum cost is $110 for Tournament Insurance. (This includes a $10 processing fee.) - Team Membership Fee – $50 / Team IF teams don’t pay this prior to the start of your event. This fee is the TEAMS RESPONSIBILITY and they
are responsible to go to the website and pay their current membership fee. In the event they do not, the Host will be billed for any teams
that did not submit this fee to ECTB directly. The host in turn is then responsible to collect the fee from the team/s to reimburse himself. - Baseballs – (recommend 1 dozen per team per division) :
- ECTB # 1’s (recommended for teams 12 and
under) – $27 / Dozen + S & H - ECTB # 2’s (recommended for teams 13 and older) – $31 / Dozen + S & H
- ECTB # 3’s (recommended for teams 15 and older – Collegiate) – $33 / Dozen + S & H

Teams who participate in Sanctioned events are not given
a Rulebook. It is up to the Host if he wishes to provide the pocket size rulebook to the teams in his event. Otherwise, Teams can view
the Rulebook on ECTB’s website.
